This Order Management Specialist role serves as the primary point of contact for customers throughout the order to invoice process, ensuring accurate order management, timely delivery coordination & a high standard of customer service within the marine & energy sector. The position requires close collaboration with customers, sales, logistics and credit teams globally while managing orders across multiple systems, resolving operational issues and ensuring compliance & pricing accuracy

Job Description

  • Act as the primary point of contact for customers, managing enquiries and orders throughout the order-to-invoice process.
  • Build and maintain strong relationships with customers, sales teams, distributors, suppliers, and logistics stakeholders.
  • Process and validate customer orders, ensuring accuracy, compliance, and adherence to service standards.
  • Coordinate closely with supply chain, logistics, and credit teams to ensure smooth order fulfilment and timely delivery.
  • Proactively monitor order status and communicate updates, delays, or potential issues to customers and internal stakeholders.
  • Ensure accurate pricing and order information to support correct invoicing and billing.
  • Investigate, resolve, and escalate order-related issues to minimise service disruptions.
  • Handle customer complaints and non-conformances, ensuring proper documentation and timely resolution.
  • Manage customer interactions across multiple communication channels, including phone and email.
  • Maintain accurate records and update relevant systems to support operational efficiency and reporting.



The Successful Applicant

  • Diploma or Degree in Business, Information Technology, Engineering, or a related discipline.
  • Prior experience in a shared services, customer service, order management, or operations environment.
  • Experience within the oil & gas, energy, marine, or related industries is an advantage.
  • Strong stakeholder management skills with the ability to engage effectively with both internal and external parties.
  • Excellent written and verbal communication skills in English.
  • Customer-focused mindset with a proven ability to deliver high service standards.
  • Ability to manage multiple priorities and work effectively in a fast-paced environment.
  • Strong problem-solving skills with the ability to handle urgent issues and drive timely resolutions.
  • Detail-oriented with a focus on accuracy and operational excellence.
  • Lean Practitioner certification or exposure to continuous improvement methodologies would be an added advantage.
