The Administrative Specialist I is responsible for providing operational and administrative support to the ASPAC & MEKSA Marketing teams, including processing PRs/POs, tracking invoices and payments, managing documentation, preparing reports and dashboards, and coordinating with stakeholders to ensure activities are completed accurately and on time.

Job Description

  • Process PRs/POs, product trials, sponsorship requests, loyalty programme activities, invoices, and related documentation in line with agreed procedures.
  • Track marketing payments, invoices, requests, and outstanding items, escalating issues where required.
  • Prepare and update standard marketing reports, dashboards, cost reports, payment summaries, and related trackers.
  • Support Marketing teams with timely and accurate reporting and administrative assistance.
  • Maintain records and documentation in line with agreed processes, compliance, and audit requirements.
  • Support workload balancing across the team and assist other teams when required.
  • Coordinate with internal and external stakeholders to ensure agreed processes are followed and tasks are completed on time.

The Successful Applicant

  • Diploma/Advanced Diploma in Business Studies, Administration, Management, Marketing, Finance, or related discipline.
  • 1-3 years of relevant working experience in business support, administration, operations, marketing support, or a related field.
  • Good verbal and written communication skills in English.
  • Proficient in Microsoft Excel and other Microsoft Office applications.
  • Good interpersonal skills with the ability to work effectively as part of a team.
