Job Description

Culture and Engagement

  • Foster strong internal relationships to cultivate a culture built on trust.
  • Work alongside managers and teams to encourage a high-performing and engaged workforce.
  • Drive and implement initiatives that promote a positive workplace culture.
  • Assist in talent retention efforts and help minimize attrition.
  • Analyze employee feedback, survey data, and exit interviews to provide actionable insights.
  • Actively support the "Culture Booster" team and initiatives.



Talent Acquisition and Onboarding

  • Collaborate with hiring managers, recruiters, and agencies to meet staffing needs efficiently.
  • Assist with interview scheduling, offer preparation, and documentation including approvals and visa processes.
  • Oversee seamless onboarding and orientation experiences for new employees.



Compliance

  • Stay informed on Malaysian labor laws and HR compliance requirements.
  • Provide HR-related guidance to both managers and staff.
  • Maintain proper documentation, employee files, and HR policies to ensure compliance.
  • Coordinate audits and implement improvements to achieve strong audit scores.
  • Assist payroll with timely submission of regulatory reports (e.g., WGEA).
  • Handle HR input for tenders and external requests.
  • Manage approvals for corporate credit card applications.



Talent Management

  • Contribute to succession planning and leadership pipeline development.
  • Help guide employee growth in alignment with business goals and individual aspirations.
  • Promote a leadership culture focused on collaboration, performance, and talent development.
  • Identify employee development needs and organize relevant training programs.



Compensation, Benefits & Cost Control

  • Support headcount and cost monitoring to maintain budget stability.
  • Assist with monthly labor forecasting and annual budgeting.
  • Review requests related to promotions, salary revisions, and job changes while offering constructive feedback when needed.
  • Administer employee benefit programs for Malaysia.
  • Coordinate the merit increase review process.
  • Identify cost-saving opportunities that don't compromise performance.
  • Help monitor and manage leave balances effectively.



Data Management

  • Ensure the accuracy and reliability of HR data systems.
  • Respond to data-related requests and analyze workforce statistics as needed.



Performance & Employee Relations

  • Support key performance processes such as goal setting and reviews.
  • Address employee concerns, conduct investigations, and manage disciplinary issues.
  • Lead internal communication efforts such as town halls and staff announcements.
  • Help strengthen employer branding and talent retention strategies.
  • Prepare regular HR reports and personnel cost analysis.
  • Oversee work pass management (e.g., expatriates and professional visit passes).
  • Coordinate with recruitment and C&B teams for seamless new hire processes.
  • Liaise with payroll vendors to ensure timely and accurate payroll processing.
  • Organize training aligned with development plans.
  • Administer employee benefits including insurance and leave policies.
  • Plan and manage staff well-being and engagement programs.
  • Ensure compliance with employment laws, ER/IR policies, and statutory obligations.



Additional Duties

  • Assist in annual ISO audit preparation.
  • Support annual HR budget planning.
  • Participate in cross-functional or regional HR projects.
  • Continuously evaluate and streamline HR operations for efficiency and automation.



The Successful Applicant

  • A bachelor's degree in any field, with at least 5 years of strong HR experience, preferably in a multinational corporate setting.
  • Comprehensive HR background covering performance management, employee relations, and talent development, along with solid understanding of Malaysian labor laws and statutory requirements.
  • Proven track record in optimizing and improving HR processes.
  • Excellent interpersonal and communication abilities.
  • Fluent in both spoken and written English.
  • Meticulous, analytical, and skilled at solving problems.
  • Capable of working effectively in a dynamic, fast-paced environment.
